Purpose of the Position

The Administrative Assistant will work as part of the COVID Vaccination clinic team, to provide administrative assistance to the CBCHS COVID Vaccination clinic. This role may involve organising and managing consumer flow, directing or answering customer queries, data entry into the relevant systems, ensuring confidentiality compliance under Privacy Act and policy, managing appointment software, information management and ensuring compliance with the recommended administration process.

This role will suit someone who has a strong desire to work as part of a team that is making a real difference in the local community by bringing the COVID vaccination to those that need it.

Key Responsibilities

Your Contribution Includes

  • Collaborate with clinic staff and promote excellent customer service, which delivers prompt and efficient response to customer
  • Communicate effectively and promote a supportive team approach within the clinic to ensure good working relationships
  • Maintain clinical files/records and databases in accordance with relevant policy and legislation
  • To screen and appropriately prioritise all telephone calls and enquiries for the mobile clinic
  • Establish a system for and maintain adequate supplies of stationary & stores supplies
  • To receive, sort and prioritise all correspondence
  • Ensure patient confidentiality at all times in accordance with the Privacy Act
  • Escalation of all concerns and issues directly to the Vaccination Site Coordinator
  • Provide assistance with clinic flow and patient directions
  • Any other duties as required by Nurse Unit Manager or their delegate

Key Selection Criteria

About You

You will have proven administration experience and bring a positive customer experience to the role. We are looking for someone with excellent interpersonal skills and great attention to detail who has the ability to question the pieces that are missing or don’t make sense. You will also:

  • Demonstrated experience with high efficiency and accuracy of using Microsoft Office including Word, Excel, Outlook, and experience with a variety of practice management software
  • Demonstrated understanding of medical terminology
  • Proven experience in working effectively in a team environment with the ability to quickly to respond positively to changing routines and priorities
  • Proficiency in database management
  • Commitment to quality, best practice and environmental safety
  • Knowledge of legal and ethical requirements
  • Demonstrated knowledge of professional standards
  • Must be proficient in the donning and doffing of Personal Protective Equipment (PPE) (desirable)
  • Must be competent in completing the 3-point patient identification check process (desirable)
